STEP 1: Authorisation
All staff and students travelling overseas on University related business MUST complete the on-line Mandatory Overseas Travel Notification and follow all general overseas travel (and financial) authorisation procedures set by their College / School / Service.
Staff travelling overseas on University business must seek approval from their relevant College, School or Professional Service.
When planning a trip and before any overseas travel, staff and students must check the (FCDO) and Crisis24 advice for the destination and transit country.
In some cases, as detailed below, additional authorisations and / or stipulations will be required before authorising travel. If travelling to a country with an elevated FCDO risk status you will be required to receive approval from either the PVC Head of College or even the University Health, Safety & Emergency Management Committee.
FCDO Travel Restrictions
For regions where the advises against all travel to an area “unless travelling on essential business”:

The Traveller should discuss travel with Central Health & Safety team and then present all details to their PVC Head of College / Director at least 15 working days before planned departure, together with the specific risk assessment.

The Head of College or Director should first confirm that the reason and importance of travel is justified and then discuss the proposal with Central Health and Safety.

The Traveller must inform the University Insurance Officer, who will confirm or otherwise insurance for travel is available.
- If the travel is justified and the risk assessment is suitable and Insurance is confirmed, the PVC & Head of College / Director of Professional Services may then authorise travel.
- Note: If the PVC Head of College or Director of Professional Services wishes to travel, the Deputy Vice-Chancellor (Academic Leadership) will approve travel.
Where the advises “against all travel” to an area:
The PVC Head of College / Director must consider the proposal and associated risk assessment and trip details and confirm that the trip is justified and would be supported.

On behalf of the Traveller, The PVC Head of College / Director will provide a Proposal, which details the travel risks, mitigations and arrangements, to the Health, Safety & Emergency Management Committee for its consideration.

Requests for travel should be made to the Health, Safety & Emergency Management Committee at least 15 working days before the intended departure date for consideration and approval, or otherwise.
Travelling to Home Country or Region:
- Staff or students wishing to return to their home country for research / work and that home country (or region) has FCDO travel restrictions for UK citizens, may be authorised provided specific criteria are met. See the Overseas Travel Policy for full details.
