STEP 2: Mandatory Overseas Travel Notification
All travel on University related business must be recorded on the Mandatory Overseas Travel Notification portal prior to travel and following approval by the College, School or Service.
Complete the at least two weeks before departure, providing travel details and Emergency Contact Details. Emergency Contact Details will only be accessed and used if there is a crisis during the trip.
Insurance
Completing the Notification will also procure the University Overseas Travel Insurance. Where there are pre-existing health conditions these may need discussion with the Insurance Officer.
Please Note that Standard Personal Travel Insurance does not usually cover business travel and it is essential that the Mandatory Overseas Travel Notification is completed.
Be aware that although the University cover is suitable for most overseas work and study scenarios, you may need to check whether it is sufficient for your activity or destination. For example, because of the country being visited, the duration of your stay, the type of activities being undertaken, especially if travelling further afield, and any enhanced medical needs you have such as an ongoing medical prescription (see STEP 4: Travel Health Essentials). The University Insurance Officer can answer queries regarding this.
Remember, if in your own time you plan to carry out higher risk activities (e.g. bungee jumping!) or intend to extend your stay to undertake some sightseeing you must arrange your own Personal Travel Insurance and confirm it covers repatriation from the country back to the UK.
Take all relevant Travel Notification and Insurance information with you - a copy of the Policy Cover Note, Policy Number, Emergency Contact Numbers, Reference Numbers.
NOTE: Many countries will not provide medical treatment without proof of Cover/Insurance or will charge at point of treatment. CONTACT Global Response before incurring any medical costs. Failure to do so WILL result in subsequent medical expenses claims being declined.
